Jeff Martins started Gable in 2018 after spending +10 years as a broker at Alliant. Having seen the insurance business from the brokerage side, he built Gable around a specialized program for commercial trucking dealerships.
Today, Gable insures more than 80 trucking dealerships across the country. Every month, each dealership reports the value of the vehicles sitting on its lot, which Gable uses to calculate premium and report exposure to its carrier partner.
For years, Jeff outsourced much of this work to a large insurance BPO because he couldn’t have his underwriting team spending dozens of hours on this process every month.
As Gable grew, the process became harder to manage. A lot of the knowledge about how to handle the exceptions lived with a small number of people, and reviewing or correcting a report could mean spending even more time.
PROBLEM
Before Velos: A process with a lot of edge cases
On the surface, the process sounds simple: take each dealer's monthly inventory and calculate the premium.
In practice, almost no two dealers report exactly the same way.
One dealer might send a straightforward TIV report. Another might send a spreadsheet containing every vehicle that touched the lot that month. Dealer names and locations don't always match Gable's records perfectly. Certain vehicles need to be excluded. Others need to be classified based on where they are in their lifecycle. And different dealers have their own rules for how the final numbers should be allocated across locations.
The outsourced team had learned how to navigate many of these situations over time, but much of that logic was inherently manual. When something unusual came up, resolving it often required going back through source files and figuring out what happened.
SOLUTION
After Velos: Turning a messy, manual process into software
Velos sat down with Jeff and the underwriting team and mapped out how the process actually worked. Rather than forcing every dealership into a new reporting format, Velos built the automation around the way Gable's dealers already operate.
Multi-format report intake
Velos monitors incoming dealer submissions and identifies the dealership, reporting period, and type of report automatically. Each file is then routed through the appropriate workflow.
Data extraction and location matching
Velos extracts the relevant TIV data and matches dealership locations against Gable's master records, accounting for common naming variations and formatting differences. Anything the system can't confidently match gets flagged for review.
Vehicle-level ledger processing
For dealerships that submit full vehicle ledgers, Velos processes the individual vehicles, filters out ineligible records, calculates the appropriate days on lot, and determines the premium associated with each vehicle. It then rolls those numbers back up into the location-level format Gable and its carrier expect.
Premium calculation and carrier reporting
As reports arrive, Velos calculates the appropriate premiums and automatically updates Gable's monthly carrier reporting workbook. Instead of waiting until the end of the month to assemble everything, Gable can see the report take shape throughout the reporting cycle.
Missing report tracking
Velos also keeps track of which dealerships have and haven't submitted. Each week, Gable can see what's still outstanding without manually comparing email submissions against its expected dealer list.
Outcomes:
What used to require days of manual processing can now largely run automatically as dealer reports arrive.
More importantly, Gable didn't have to simplify the workflow to make that possible.
Velos was able to automate the unusual formats, dealer-specific rules, vehicle-level calculations, location matching, and other edge cases that made the process difficult in the first place.
90% reduction in reporting errors, with automated checks catching missing or inconsistent information before it reaches the carrier.
Processing time reduced from days to hours, with many individual submissions processed within minutes of arriving.
A complete audit trail showing how every submission was processed and where exceptions required review.
Earlier visibility into missing reports, giving Gable more time to follow up with dealerships before the carrier deadline.
Less reliance on manual outsourced processing, while preserving human review for the cases that actually need it.
